Who is hosting your email accounts?

If you are still using an email service that doesn’t specialize in reliable, secure, accessible email, it’s time for an upgrade.

I started using Google’s tools before they were called G Suite. Even though I owned a hosting company that offered webmail, I learned early on that I couldn’t offer an email service that could match what Google offered for even twice the price!

Many traditional web hosting companies are pulling back from offering email hosting and are directing clients to third-party services. The writing is on the digital wall. If your email needs to be professional, you need a professional email host to serve it. I’m even seeing hosting companies bundle Gmail into their packages for an extra reseller fee.

Here are six reasons why making the switch is a smart business decision:

  • Better Reliability – Google Workspace operates on Google’s dedicated email infrastructure, rather than relying on the same hosting environment as your website. This helps keep your email service independent of website hosting problems, maintenance, or server changes.
  • Improved Email Deliverability – Properly configured Google Workspace accounts support modern email authentication standards, helping your legitimate business emails reach customers instead of being flagged as spam.
  • Stronger Security – Google Workspace includes spam and phishing protection, two-step verification, and account security features that help protect your business communications. Most of my clients who switch see an immediate drop in the spam that floods in every day.
  • Professional Email Addresses – You can continue using your existing business email addresses, such as you@yourbusiness.com, while taking advantage of Gmail’s familiar interface and features.
  • Access from Anywhere – Read and send email from your computer, smartphone, or tablet. Your email, contacts, and calendars stay synchronized across your devices. Use with Outlook, Thunderbird, or your favorite email client OR stay 100% online with Gmail’s native tools.
  • Independence from Your Website Hosting – If you redesign your website, change hosting companies, or experience website downtime, your email service remains separate. This makes future website changes much easier and reduces the risk of email disruptions.
Google Workspace includes access to Google’s best business tools; think of these apps as a bonus, not a burden. You can keep using Office or any other production software you prefer. As the business owner, you control which tools each user can access.

Is It Worth the Cost?

Google Workspace requires a monthly subscription, but reliable business communication is worth it. Missed messages, email delivery problems, and time spent troubleshooting can cost a business far more than the monthly subscription.

Google Workspace starts at $7/user (each email address is a user)/month. If you store a lot of email data online, you may want a bigger package. Currently, they offer a 14-day free trial and up to 10% off your first year.

My recommendation: Keep your website hosting and business email separate. Let your website host focus on your website, and let Google handle your email.
